Guides on setting up events, accepting Stripe payments, and managing door check-in.

Promoters

Let promoters, DJs and ambassadors sell your events through their own links, set their commission, and settle with them.

How It Works

A promoter is someone who sells your events to their audience – a DJ, a blogger, a club ambassador. Each promoter gets a personal link to each event. Orders that come through it are counted to them, and they earn a commission you set.

  • The promoter sees their own clicks, orders, tickets and commission – never your revenue and never who bought.
  • You see every promoter's results and what you owe each of them.
  • Money never passes through TixFlow. You pay the promoter directly – outside TixFlow, or by card on their own Stripe account. Invoices, taxes and your agreement with the promoter are between the two of you.

Promoters' links are tracking links of their own, so everything about counting clicks and orders applies to them too.

Where It's Set

Portal → Promoters – available to the organizer's owner. It has two tabs: Promoters (who promotes and at what rate) and Payments (what you owe).

Each event also has a Promoters tab for people who promote only that event.

Inviting Promoters

With an invitation link – for anyone who wants to promote your events:

  1. Open Promoters and click Create invitation
  2. Set the starting Commission, %
  3. Click Create invitation link, copy it and share it wherever your audience is

People who open it register or sign in and join your team themselves – you do not approve each one. The percentage applies only when someone joins for the first time; it never changes the rate of a promoter you already work with. Disable a link to stop new people joining through it; those who joined keep their access.

Before joining, they tick that they agree to the Promoter Terms – the rules for how promoters work on TixFlow.

By email – for a specific person: use Add by email. Someone who already has a TixFlow account gets access at once; anyone else receives an invitation to register and is listed under Awaiting registration until they do.

For one event only – open the event's Promoters tab and invite people there. That access covers only this event, and the rate you set applies only to it.

A promoter needs no organizer account of their own: they land in the promoter area, which shows only the events they promote.

Commission

  • Rate – a percentage, or a fixed amount per ticket. Change a promoter's default rate with Edit rate. A rate set on an event's Promoters tab overrides the default for that event.
  • Base – the ticket price after discounts and promo codes, without VAT and without fees.
  • Which sales – only online purchases paid with money. Door sales, Tap to Pay, the guest list and free orders earn nothing.
  • Fixed at payment – the commission is calculated when the order is paid, at the rate in force then. Changing the rate later does not touch past orders.
  • Refunds – refunding an order cancels its commission.

Personal Promo Codes

A promoter whose audience prefers typing a code can have one. On the event's Promocodes page, set the code's Channel to a promoter from the Promoters group. Anyone who enters it is counted to that promoter and earns them the same commission – even if they clicked another link before. You set the discount; the promoter only sees the code.

Results

Analytics → Promoters compares your promoters over the events and period you choose: clicks, orders, tickets, revenue, conversion and commission. Open a promoter to see each of their links. Download CSV exports the table.

The Orders list shows which promoter each order came through.

Self-purchases are orders a promoter bought with their own email address. They are flagged so you can notice them, but not blocked, and they still earn commission.

Paying Promoters

The Payments tab shows, per promoter and currency: commission Accrued, Cancelled by refunds, Paid outside TixFlow, Paid through TixFlow, and the Balance. When and how much to pay is your decision; TixFlow holds nothing back.

Paid another way – after paying by bank transfer or cash, click Record payment and enter the amount, currency, date and a note. This only keeps the count: it moves no money and issues no document. A mistaken record can be deleted.

Pay through Stripe – available once the promoter has connected their own Stripe account. Choose the amount (the balance by default) and click Continue to Stripe to pay by card or SEPA. The payment goes straight to the promoter's account; Stripe's fee is deducted on their side, and TixFlow takes nothing. The payment appears in the table as soon as Stripe confirms it – a SEPA transfer can take a few days.

If a refund comes after you have paid, the balance goes negative and shows as Overpaid: the promoter's next commission covers the difference first. Both of you see the same numbers.

Removing a Promoter

Click Remove next to the promoter and confirm. From then on:

  • their links keep opening your events but count nothing and earn no commission
  • they cannot rejoin through any of your invitation links – only you can Restore access
  • commission they already earned stays payable, and they keep seeing their balance

Removing someone from one event's Promoters tab affects only that event.

Showing Who Invited the Visitor

Settings → Organization & Billing → Checkout → Show who invited the visitor. When it is on, a visitor arriving through a promoter's link sees the promoter's name on the event page. It is off by default and changes neither prices nor checkout.

For Promoters

Your area is in the profile menu (the icon in the top right corner) → Promoter area, or at tixflow.org/promoter.

  • Events – the events you promote. Open one and click Get my link for your personal link and its QR code for print (PNG or SVG). A scan counts like a click.
  • Additional links – make one per channel (a story, a chat, a flyer run) to see which one sells. All of them earn your usual commission.
  • Your results – clicks, orders, tickets and commission for each event and link. Past events and their results stay visible.
  • Payouts – what each organizer owes you. To be paid by card, open Settings → Integrations, click Connect Stripe and connect your own Stripe account; organizers then pay straight into it. The money never passes through TixFlow.

Your commission is fixed on each order when it is paid, and a refund cancels it. How and when you are paid is agreed between you and the organizer.

FAQ

Does a promoter see my revenue or who bought?
No. A promoter sees only their own clicks, orders, tickets and commission – never your revenue and never buyers’ names or emails.

Does TixFlow take a share of the commission?
No. You pay the promoter directly, outside TixFlow or through Stripe straight to their account. TixFlow takes nothing from it.

Does a promoter need Stripe?
Only to be paid by card through TixFlow. Without Stripe you can still pay them another way and record the payment with Record payment.

If I change a promoter’s rate, do past orders change?
No. Commission is fixed on each order when it is paid, at the rate in force then. A new rate applies only to orders paid after the change.

What happens if an order is refunded after I paid the promoter?
Its commission is cancelled and the balance goes negative (Overpaid). The promoter’s next commission covers the difference first.
