How to add invited guests, issue them free tickets, and manage your event's guest list.

What the Guest List Is

The guest list lets you issue free tickets to specific people directly, without putting them on public sale. It's perfect for:

  • Press and journalists
  • Partners and sponsors
  • VIP guests and invited artists
  • Staff and volunteers

Each guest receives a full PDF ticket with a QR code by email — exactly like a regular purchase.

Where to Find the Guest List

Portal → Your event → "Guests"

Adding a Guest

  1. Click "Add guest"
  2. Enter the guest's name
  3. Enter their email address
  4. Optionally add custom data — for example "Press", "Sponsor", "VIP" — this information will be visible on the ticket
  5. Click "Save"

The system automatically creates a free ticket and sends the guest an email with the PDF and Apple Wallet and Google Wallet links.

What the Guest Receives

The guest gets an email containing:

  • A PDF ticket with a QR code for scanning at the door
  • A link to add it to Apple Wallet (iPhone)
  • A link to add it to Google Wallet (Android)
  • Event information (date, venue)

The ticket works with the QR scanner exactly like a regular purchased ticket.

Managing the Guest List

In the guest table, each guest offers:

  • Resend email — if the guest didn't receive their ticket or lost it
  • Download PDF — grab the ticket directly, for example to print and hand out at the door
  • Remove guest — cancels the ticket; if scanned, it will be flagged as invalid

Custom Data on the Ticket

The "Custom data" field lets you add any note that appears on the ticket and helps identify the guest at the door. For example: "Press accreditation", "Sponsor invitation", "Backstage area".

FAQ

Does adding guests affect the sold-ticket counter?
No. Guest tickets go through a separate hidden "Guest List" ticket type and aren't counted in the sales of the ticket types buyers can see.

Can I add a guest without an email?
No. Email is required — that's where the ticket email is sent. If you need to hand a ticket over in person, add the guest, download the PDF, and give them the printout.

What happens if I remove a guest after the event?
The ticket moves to "Cancelled" status. This doesn't affect the event archive, but a cancelled ticket will be rejected if scanned.

How many guests can I add?
There's no technical limit. The guest ticket type is created with a practically unlimited number of places.

Do guest tickets appear in the Orders section?
Yes. Each guest ticket creates an order with "Paid" status and an amount of 0. They show up in the overall order list.
