Event Team
How to invite editors and scanners to manage a specific event.
Event Team Roles
For each event you can assign two types of team member:
| Role | What they can do |
|---|---|
| Event Editor | Edit event settings, tickets, and description; view orders, the guest list, and sales statistics |
| Event Scanner | Scan tickets at the door via the QR scanner — nothing else |
An event editor has no access to your Stripe settings or to any other event.
Where to Find Team Settings
Go to the portal → select an event → the "Team" tab.
This page shows:
- Current team members and their roles
- Pending invitations
- An "Invite member" button
Inviting a Member
- Click "Invite member"
- Enter an email address
- Choose a role: Editor or Scanner
- Click "Send"
The invitee receives an email with a link. Once they accept, they appear in the team list. If they don't have a TixFlow account yet, they'll need to register.
Changing Roles and Removing Members
- To change a member's role — click their current role next to their name and pick a new one
- To remove a member from the team — click the remove button. Access is revoked immediately
Event Scanners vs. Organiser Scanners
| Level | Where it's set | Access |
|---|---|---|
| Event scanner | Portal → Event → Team | This event only |
| Organiser scanners | Portal → Team | All of the organiser's events |
If you want one person to be able to scan all of your events, add them as an organiser scanner. See Scanner Access Management.
FAQ
Can an event editor delete tickets or change prices?
Yes. An event editor has full access to editing event settings, including ticket types and prices.
What can an event editor see and not see?
An event editor sees the orders, guest list, and sales statistics for their event. They have no access to Stripe settings, organiser invoices, or any other event they're not a team member of.
What happens to an invitation that isn't accepted?
It stays in "Pending" status. You can revoke it at any time from the team list.
Can I invite one person as both an editor and a scanner?
No. One role per member. If you need both, choose the "Editor" role — it already includes the ability to use the scanner.
Does a team member need a TixFlow account?
Yes. If they don't have an account yet, they can create one for free via the link in the invitation email.
