Reserved seating and hall plans

Build a hall plan, price seats and tables, sell free-zone entries, and manage availability.

Choose the sales format

In the event wizard's Tickets step, choose reserved seating, save the draft, and open the event's Seating tab. Ordinary ticket sales remain the default. You can change the format only before the event has any orders, including invitations and failed orders.

For a seated event, configure prices on the hall plan rather than adding ordinary ticket types. Save the plan before leaving the editor. If you try to leave with unsaved changes, the editor asks whether to save them first. Changes that were never saved stay in this browser, and the editor offers them back the next time you open it. See Creating an Event.

Draw the hall

  • Rows: create a block with a section name, row labels and seat numbers. Bend rows into arcs or correct individual chairs without drawing every seat separately.
  • Tables: add a round or rectangular table. Choose sales by chair or as a whole table. A whole table is one selection at one full-table price, with a separate QR ticket for every sellable chair. Fixed ticket fees apply to every issued ticket.
  • Free zones: add an area such as a dance floor or unassigned seating, give it a name and capacity. Buyers choose an entry quantity, not individual chairs. Each entry receives a ticket.
  • Landmarks: add a stage, section label, entrance or aisle. Buyers see these for orientation; they cannot buy them.
  • Backdrop: upload a PNG or JPEG reference drawing and trace it. Move, scale, rotate, lock or hide it. The reference image stays private and does not appear on the buyer map.

On Blocks, choose and move objects. Drag on empty space to select a group; Shift adds to a selection. Drag corner handles to resize; Shift preserves proportions. Resizing row blocks changes spacing, not seat counts. Hold Ctrl while dragging to pan the drawing. Use undo/redo to reverse edits. Geometry editing is intended for desktop use.

Set prices and publish

Open Prices and select places on the map. Enter the new zone’s name, colour, price and fee handling, then choose Create zone and assign. Without a selection, Create zone creates an unassigned zone. Assign an existing zone or clear an assignment through the right-click menu. Selecting an assigned chair shows its current zone. Whole-table zones price the entire table; seat zones price individual chairs. To remove a zone, select it and choose Remove zone; its places stay without a price until you assign another zone. A zone that already has tickets, refunded ones included, cannot be removed.

The entrance price and fee handling of a free zone are also on Prices. Its capacity and shape are on Blocks. Zero means explicitly free; an empty price is unfinished.

Save the plan. The publication check points out missing assignments, prices and other plan problems. Fix them before publishing; paid events also need a working payment setup. In this version, each price zone or free zone has one base tariff.

What buyers reserve

Buyers can combine seats, table chairs, whole tables and free-zone entries in one order. Selecting on the map alone does not reserve inventory. Continuing to checkout starts a 10-minute hold; the review page shows the remaining time, and refreshing does not restart it.

Changing the selection releases the hold. If a place becomes unavailable, the buyer must adjust the selection; it is never silently replaced. Buyers see availability without learning whether someone bought, held or was invited to a place. A late payment succeeds only if the whole selection is still available; otherwise the payment is refunded without issuing tickets.

Tickets retain the placement and price agreed at purchase. Later changes to the drawing do not rewrite existing tickets. Taken seats cannot be removed, renamed or assigned to another price zone; their position on the drawing can still change.

Manage sales and occupancy

On Manage sales, select available places to close them, and explicitly return closed places to sale when appropriate. Sold, invited and actively held places cannot be released this way. Whole tables are managed together.

Manage sales shows available, held, sold, invited and closed places, plus free-zone capacity and usage. Drag on empty space to select places with a frame; Shift adds to the selection. Hold Ctrl while dragging to pan without changing the selection. The table below the map summarizes each zone and its organizer payout. Select a sold place and choose Open order to inspect its order. Scanner access does not grant access to revenue or buyer details. For recurring events, choose the occurrence first; past dates remain available. Right-click a place for applicable sale actions or its order link. Right-clicking inside a selection keeps the group; outside it selects that place.

Invite guests

Open Guest List, click Invite to places, enter the guest's details, and select seats, a complete whole table or free-zone quantities. For a recurring event, choose the date first. Invitations consume the same availability as sales and holds. Each selected place or zone entry gets a free ticket. Invitations are excluded from sales revenue.

Revoke an invitation: in the guest's menu choose Revoke places, then revoke a single seat, a zone entry or a whole table; a table goes only as a whole. The ticket stops working at entry and the place returns to sale. A place the guest has already been admitted on cannot be revoked. The ordinary Remove Guest action is for events without assigned seating. See Guest List.

Refund an order

The organizer owner can open a paid order and choose Refund order. The portal refunds the whole order, including a mixed order; partial seat or table refunds are not available. An order containing a whole table cannot be refunded once any ticket at that table has been scanned.

Refunded assigned places stay closed until you explicitly return them to sale. While an asynchronous refund is pending, those places cannot be released. If the refund fails, the original sale is restored. Free-zone availability follows valid and used tickets plus active holds. See Refunds.

Door sales and recurring dates

For seated events, payment links and Tap to Pay sell only free-zone entries. Assigned seats and tables are sold online. Active online holds count against the capacity offered at the door. A payment that loses the remaining capacity is refunded.

For recurring events, each occurrence has its own availability; the same chair can be sold on different dates. Buyers choose the date before the map; switching dates clears their previous selection. Tickets and emails show the purchased date in the event's timezone. Door sales use today's occurrence, including an eligible ongoing overnight occurrence, rather than a future date.

Reuse templates

Use the small Save as template action beside Save in the hall constructor and enter a name. Owners and organizer-level editors can save templates and rename or delete them from the saved-plan chooser; there is no separate library tab. Templates retain geometry, numbering, table modes, zone membership, free-zone capacity and a private backdrop copy. They exclude prices, fees, orders and availability.

Applying a template requires confirmation and creates an independent plan with prices unset. Existing claims, active holds or orders prevent replacement. Applying to a published event returns it to draft. Set prices, save and check the plan before publishing again.

An empty plan first offers the most recent past event where your organization sold tickets at the same catalog venue or Google Place, even if its plan was never saved as a template. Otherwise you can choose one of your saved plans. Saved plans also remain available as an alternative. If neither exists, no suggestion appears. Venue names alone are not matched. Plans are never applied automatically; copying a previous event uses the same safeguards and resets prices. Existing event plans remain independent.
