How to invite scanners at the organiser and event levels, and the difference between the two.
Two Levels of Scanning Access
In TixFlow, scanning access can be granted at two levels:

| Organiser scanner | Can scan all of this organiser's current and future events | Portal → Team |
| Event scanner | Can scan only one specific event | Portal → Event → Team |
Pick the level based on your needs: for a permanent door-control team, use the organiser level; for one-off helpers at a specific event, use the event level.

How to add
- Click "Invite"
- Enter an email
- Choose the role "Organiser scanner" or "Organiser editor"
- Click "Send"
The invitee receives an email with a link to accept. Once accepted, they get scanner access to all of this organiser's events.
The "Organiser editor" role
An organiser editor has broader access: they can edit organiser settings, manage events, and scan tickets. Assign this role only to people you trust.
Event Scanners
Event scanners are set at the level of a specific event, in the "Team" section. See Event Team.
What a Scanner Sees
A scanner, at either access level, only sees the following in the app:
- The list of events they can scan
- The QR scanner for verifying tickets
- The counter: how many tickets have been scanned
A scanner has no access to:
- Financial data and payouts
- Event settings
- Buyers' personal data
Removing Access
In the team list, click the remove icon next to the member. Access is revoked immediately — the next time they try to open the scanner, they'll get an authorisation error.
FAQ
Does a scanner need a TixFlow account?
Yes. If they don't have an account yet, they can create one for free via the link in the invitation email.
Can I add a scanner on the spot, on the day of the event?
Yes. Invite them by email through the portal. They need to accept the invitation and sign in — that takes 1–2 minutes. Just make sure the venue has internet.
What happens if an organiser scanner tries to scan another organiser's event?
Nothing — their event list only shows the events they actually have access to.
How many scanners can I add?
No limit. Several scanners can work the same event at once without conflicts.
Can a scanner also be an editor?
No — one role per team member. An editor can scan, but a scanner can't edit.
